Track a Trip Float Without the Spreadsheet
Log trip expenses by photo, voice or a typed line, handle naira and US dollars, and download an Excel report with receipts and the balance to return.
A float, a stack of receipts and two currencies usually end in a late-night spreadsheet. Here is how to keep the trip straight while you travel and hand finance a finished report.

The problem with floats and receipts
Many teams still travel on a float: finance gives you an amount before the trip, you spend it on taxis, hotels, data and meals, and when you come back you must show where every naira or dollar went. The receipts end up in a pocket, half of them faded, and the report is built from memory at the end of the week.
The hard part is rarely the arithmetic. It is the mix: a float in US dollars, spending in naira, cash from an ATM at a rate nobody wrote down, and a hotel paid by card at yet another rate. Expenses in Quantum-NoteMaster is built for exactly that trip, so the report is ready the day you land.
Start a trip with the money you received
Open Expenses and create a trip: a title such as "Abuja client visit", the dates, the purpose and the float you were given, for example US$1,500. Set your home country and base currency once; every trip then starts in it. If your company asks for extra details on the report, such as a trip number or department, add them and the next trip starts with the same fields.
Received more money during the trip? Add it as money received, with a date and a note. Travelling on from an earlier trip with the same float? Bring forward that trip’s balance instead of starting from zero. It can even be negative when you were owed money.
Add expenses the way that suits the moment
At a taxi rank you do not want a form. Type one line such as "₦18,000 taxi airport to hotel, cash" and the amount, currency, description and payment method are filled in. In a hurry, tap Add by voice and say it instead. If you speak another language, choose it under "I speak" so the note is understood. Short notes the app is unsure about are kept and marked "Please check" rather than lost.
For anything with a receipt, photograph it. The photo is saved with the expense and goes into the report. Automatic reading of receipt photos is built in and is switched on per workspace; until it is, you fill in the amount and the photo stays attached. Took the photo first? Tap Fill in by voice on that expense and say the details. Added the expense first? Add the receipt photo to it later.
- Typed line: "₦4,500 Bolt to the distributor, cash".
- Voice: "Dinner with the distributor, fifteen thousand naira, cash".
- Photo: the hotel receipt, attached to the US$186 accommodation line.
Currencies, cash withdrawals and card charges
Each trip has exchange rates for the countries you visit, and every expense is converted to your base currency. Naira spending on a US dollar float is shown in both amounts, so a ₦18,000 taxi appears as about US$12.10 when the rate is ₦1,488.10 per dollar.
Cash from an ATM or a bureau is not an expense: the taxis and meals you pay with it are. Say or type "ATM 200,000" and it is filed under Cash withdrawals, shown apart and kept out of the totals. Add the amount your bank actually charged, for example US$134.40 including fees, and tap Use this withdrawal to set the rate. The app works out what the cash really cost you (₦1,488.10 per US$ in this example) and recalculates every naira expense on the trip.
Paid by card? Fill in Amount charged with what left your account or what the card was charged in dollars. It is used instead of the receipt amount, and the report shows the rate it works out to.
Totals, charts and the balance to return
The trip page keeps a running total: money received, total spent and the balance, labelled as the amount to return to the company or the amount the company owes you. Charts show how much of the float is used, spending by category and spending by day, so you notice early when the float is running low.
In the Abuja example, US$1,500 received and US$217.58 spent leaves US$1,282.42 to return, with accommodation the largest category. Those are the figures finance needs, without anyone opening a calculator.
Hand finance a finished report
Download Excel for an accounting-style report with sign-off lines, or Download Excel (ledger) for money in and money out on one running balance, with one column per category. Both include a Summary sheet with charts, the rates used, and the receipt photos inside the file next to each expense. Download receipts (ZIP) gives the photos as separate files named to match the report rows.
You can also log expenses from Telegram while you travel: type a line to the bot, send /expense and then a voice note, or send a receipt photo. They land on your most recent open trip, ready for the same report.
Frequently asked questions
Can I mix US dollars and naira on one trip?
Yes. Set the trip currency and the rate for each country you visit. Every expense is converted to the trip currency, and the report shows the rates used.
Are ATM withdrawals counted as spending?
No. Withdrawals are kept apart from the totals, because the purchases you make with that cash are the expenses. A withdrawal with its amount charged can set the local rate for the trip.
Does the app read my receipts automatically?
Receipt reading is built in and switched on per workspace. When it is not on yet, the photo is still saved with the expense and you fill in the amount, by typing or by voice.
