Upload the recording you already have
Most teams already meet on Zoom, Microsoft Teams, or Google Meet. Quantum-NoteMaster is built for what happens after that call: an accurate transcript, structured Smart Notes, owners, due dates, and email reminders. You do not have to abandon the meeting tool your organisation already uses.
The supported path today is simple. Record in Zoom, Teams, or Meet using that product’s own recording controls. After the meeting, download the file. Then open Voice Notes in Quantum-NoteMaster and upload the audio. Transcription and Smart Notes use the same pipeline as recordings made in the browser.
We do not join the call as a participant. There is no live meeting bot in the participant list, and we do not claim a Zoom, Teams, or Meet integration. Upload is the official workflow until a bot product exists. That keeps capture under your control and avoids a second vendor sitting in the meeting.
Before you hit record
Ask for consent when your organisation or local rules require it. Tell attendees that the session will be recorded for notes and follow-up. If the meeting includes confidential topics, confirm who may store the file and how long it should be retained.
Audio quality still matters more than the brand of the meeting app. Ask remote speakers to mute when they are not talking, keep laptops away from fans and air conditioners, and avoid recording a laptop loudspeaker with a phone if you can download the official file instead. A clean cloud recording from Zoom, Teams, or Meet is usually clearer than a second-hand capture of the room.
Name the file with the meeting title and date before you upload. Smart Notes can use that name as the note title, which makes the transcript library easier to search later.
- Confirm you have permission to record and to store the file.
- Prefer the official download from Zoom, Teams, or Meet over a phone pointed at a speaker.
- Keep one language stretch as consistent as you can; review code-switched sections after transcription.
- Upload soon after the meeting so follow-up is still fresh.
Zoom: download, then upload
If you are the host, or recording was permitted for your role, start a cloud or local recording in Zoom. Cloud recordings are processed after the meeting and then appear in the Zoom recording list. Local recordings are saved on the host computer in the folder Zoom uses for that account.
Wait until Zoom has finished processing a cloud recording before you download. Prefer an audio file such as M4A or MP3 when Zoom offers one. If you only have an MP4 video, Voice Notes accepts common audio formats; if the uploader rejects a video container, export or extract the audio first, then upload.
Open Voice Notes, choose Upload audio, and select the file. Start transcription as you would for any other recording. You can map speaker labels after diarization and then generate Smart Notes from the completed transcript.
Microsoft Teams: save from OneDrive or chat
Teams typically stores meeting recordings in OneDrive or SharePoint for the organiser. After the call, open the recording from the meeting chat or from Files. Download a copy to your computer rather than leaving the only copy inside the meeting thread.
Upload that file on Voice Notes. If Teams gives you a video file and the uploader does not accept the container, export or extract the audio and try again. Use a filename that includes the meeting name and date so the transcript and Smart Note stay identifiable in your workspace.
For hybrid meetings, the Teams recording of the online call is usually clearer than a phone recording of a conference-room speaker. If some attendees were in a noisy room, still upload the official file first, then review unclear names and decisions in the transcript.
Google Meet: download from Drive
On Google Workspace, Meet recordings are usually saved to Google Drive for the organiser. Open Drive, find the recording, download it, then upload the audio in Voice Notes. Give Drive a few minutes if the file is still processing after a long meeting.
Personal (non-Workspace) Meet accounts may not offer cloud recording. In that case, record locally with Voice Notes on the same device if you are in the room, or use another permitted local recorder and upload the file afterward. Do not assume every Meet account can produce a Drive file.
As with Zoom and Teams, extract audio from a video download when needed. The goal is a file Voice Notes can transcribe, not a second copy of the video in storage.
After upload: transcript, then Smart Notes
Once the file is in Voice Notes, start transcription. Review speaker labels, generate Smart Notes, assign an owner and due date to each action, and schedule email reminders. That is the same follow-up path whether the audio came from the in-app recorder or from Zoom, Teams, or Meet.
Treat the transcript as evidence to review, not as an unquestionable official record. Confirm names, numbers, and decisions before you send reminders. If the meeting mixed languages, check those stretches with a fluent speaker.
